Background:
The IT Department plans, maintains, and enhances Citywide network infrastructure to support the operational, connectivity, security, and technology needs of City operations. Maintaining a secure, reliable, and high-performing network environment requires access to network hardware, software, licensing, maintenance, support, professional services, configuration, implementation assistance, and other related network infrastructure products and services.
The City's network environment includes Extreme Networks, Inc. equipment and technologies integrated with the City's core network infrastructure. These technologies support wired and wireless connectivity throughout City facilities and other locations, providing secure network access for employees, appropriate separation of network traffic, guest connectivity, and expanded wireless coverage where required. As the network environment continues to evolve, additional network-related products and services will be required to support upgrades, expansions, maintenance and replacements, security improvements, and system integrations.
Following a competitive solicitation, the State of Montana, serving as Lead Entity for the RFxPremier Data Communications cooperative portfolio, awarded a Master Agreement to Extreme Networks, Inc. under Contract No. SPSD26-0563LS-EXT. The City proposes to purchase under this Master Agreement through Step CG, LLC, as an authorized Extreme Networks fulfillment partner. The Master Agreement term ends September 30, 2033, with renewal options available through September 30, 2036.
The IT Department and Purchasing staff evaluated available procurement options and determined that acquiring these products and services from Step CG, LLC under this Master Agreement is the most advantageous approach for the City. This approach maintains compatibility with the installed Extreme Networks platforms and avoids the cost and operational risk of introducing a second network hardware standard.
Since 2018, the City of Sunrise has made 67 purchases of Extreme Networks, Inc. hardware from Step CG, LLC. Performance has been favorable, with work completed on schedule and within budget.
City Commission approval is requested to enter into Cooperative Agreement No. 26-35-08-HR between the City of Sunrise and Step CG, LLC for network infrastructure products, solutions, and related services on an as-needed basis.
Because these purchases will be made under an existing governmental contract, the City's formal bidding procedures are waived pursuant to Section 5-173(c)(4) of the Code of the City of Sunrise.
